Member profile ​

The profile is the single page where everything about a member lives β€” their contact info, attendance history, giving history, notes, and audit log. Click any member from the main list to open it.

Member profile overview

The top of the page shows the member's photo, full name, and primary contact details. From here you can:

  • Replace the photo by clicking it.
  • Mark them as lost or recover them (see active vs lost).
  • Open a quick-actions menu β€” message, schedule meeting, add to group.

Tabs ​

The profile body is organized into tabs. The exact list depends on which modules are enabled, but typically you'll see:

Overview tab ​

Inline-editable. Click any field, type, and tab away to save. Phone fields validate format; date fields use a date picker.

The custom-fields section appears at the bottom and is grouped by category if your church has more than five.

Attendance tab ​

Shows every check-in for this member. Each row links to the meeting it belongs to. The streak indicator at the top counts consecutive recent meetings.

TIP

Long gaps stand out here. If you spot a member who suddenly stopped, that's often the trigger for a pastoral call before they fully disengage.

Giving tab ​

Restricted by permission. Admins always see it; shepherds see it only if your church has explicitly enabled the Giving visibility for shepherds setting.

Each row shows date, fund, amount (or "Hidden" if privacy mode is on), and payment method. Totals appear in the header.

Notes tab ​

Add pastoral notes here. Each note is stamped with the author and timestamp. Notes are visible to admins by default; shepherds see notes they wrote themselves plus any flagged as shared.

Activity tab ​

Every field change is logged: who, what, when, and the old β†’ new values. Useful when you're auditing a profile that someone says was tampered with, or just reconstructing why a phone number changed last week.

Soft delete and the recycle bin ​

If you delete a member from the main list, the record is soft-deleted β€” flagged with a timestamp but not actually removed from the database. This protects you from accidents.

You can restore from Settings β†’ Data & Logs β†’ Recycle bin within 30 days. After 30 days, a nightly job purges soft-deleted records permanently.

WARNING

Deleting a member also hides their historical attendance and giving from default views. The data isn't gone β€” but reports that group by member will skip them. If you're cleaning up a true duplicate, prefer merge over delete.

Shepherds outside the member's org unit can't see the profile at all β€” the URL returns a 404 to avoid leaking that the member exists.

Common questions ​

Can I print a profile? Use your browser's print-to-PDF. We don't have a dedicated print layout yet β€” it's on the roadmap.

Why doesn't the giving tab show anything for our pastor? Either the privacy setting hides it, or your role doesn't include giving visibility. Check Settings β†’ Giving for the org policy.

Can I export a profile? Not as a single-profile export. The bulk export from Members β†’ Export dumps every member you can see into a CSV.
