Create a ministry β
Creating a ministry takes about ten seconds. The form has one required field β name β and the ministry is live as soon as you save. You can start adding members immediately.
TIP
Plan your full list of ministries before creating them one by one. A consistent naming convention (Worship, Ushers, Children's Ministry β not Worship Team, The Ushers, Kids Ministry 2026) makes reports much easier to read. See the common patterns below.
Open the create dialog β
From Ministries, click the Add Ministry button in the top right of the page header.

The dialog is small on purpose β there's only one field that matters, and the cost of creating a ministry is low. You can always edit or delete later if you change your mind.
Fill in the ministry β
Name (required) β
Type the ministry name. Common examples:
- Worship β singers, musicians, sound, lighting
- Ushers β greeters, seating, offering collection
- Children's Ministry β Sunday school, nursery, kids' church
- Youth β teens' programs, youth leaders
- Media β livestream, photography, social media
- Hospitality β coffee, refreshments, welcome bags
- Prayer Team β prayer warriors, intercession
- Outreach β evangelism, community service, missions support
Keep names short and stable. They appear in dropdowns across the app β member profile, attendance, reports, bulk actions, workflows. A name like Worship travels well; Worship Team Lead by Pastor Smith (Sunday only) does not.
Save β
Click Save. The dialog closes and the new ministry appears in the list immediately, showing 0 members. You can now:
- Click the ministry to open its detail page and start adding members.
- Click Add Ministry again to create the next one in your list.
Common ministry patterns β
What most churches end up with after a few months of use:
Small church (under 100 members): Worship, Ushers, Children's, Hospitality. Four ministries is enough β every active member knows where they serve.
Medium church (100β500): Add Media, Youth, Prayer Team, Outreach. Now you have eight ministries and the list page becomes a useful health dashboard β recruiting drives are easier to target.
Large church (500+): Split big teams. Worship becomes Worship Vocals, Worship Band, Worship Production. Children's becomes Nursery, Kindergarten, Elementary. Now the rotas are clear and the right people get notified for the right rehearsals.

Editing a ministry β
Click any ministry card to open its detail page, then click Edit in the header. The same dialog opens, prefilled β you can rename and save. Renaming is safe: all member assignments, attendance records, and reports follow the ministry by ID, not by name. The historical reports just show the new name from the moment you save.
WARNING
Avoid mid-year wholesale renames if your church publishes year-end ministry reports. The report will show the current name on lines that were attributed under the old name. If that matters for your governance, archive the old ministry and create a new one with the new name instead.
You can also edit from the list page directly β hover over a card and click the pencil icon that appears in the top right. That opens the same edit dialog without leaving the list.
What happens behind the scenes β
When you create a ministry, GCM writes a new row to the ministries table scoped to your organization. The record is immediately visible to anyone with ministries.view permission and editable by anyone with ministries.manage.
No emails go out. No workflows fire. Creating a ministry is a silent, internal action β it doesn't notify members or change any existing data. That's deliberate: you should be able to reorganize your ministry list without anyone outside the admin team noticing.
If you have PowerSync enabled (growth+ plans), the new ministry syncs to the offline cache so check-in stations and tablets in the lobby see it within seconds even without a network.
Bulk creating ministries β
There's no bulk-create UI today. If you're setting up a brand-new church account with a long ministry list, the fastest path is to enter them one at a time β the dialog has an Enter-to-save shortcut, so you can keep your hands on the keyboard. About six seconds per ministry once you have the rhythm.
For very large imports (50+ ministries) we usually advise opening a support ticket β the team can run a one-time CSV insert on the backend so you don't lose an afternoon to data entry.
